Teams & HR

An internal assistant fed by your organisation’s knowledge.

Find a procedure, prepare a meeting or support a new joiner: an internal assistant puts that knowledge within a question’s reach.

What you need

The answer already exists. But does your internal assistant know where?

Procedures are scattered, the same questions keep coming back and a handful of people carry the whole organisation’s memory. Making that knowledge reachable means choosing the content that governs, and setting aside the stale versions still sitting in shared folders.

Le socle de cet usage

Les connaissances à réunir

Guides d’accueil, procédures, comptes rendus, fiches produits et documentation interne.

Comprendre la base de connaissances
In your day-to-day

What an internal assistant changes.

Find things faster

Ask a question in plain language instead of working through several folders.

Share good practice

Spread the organisation’s methods without depending on one person.

Keep a shared framework

Choose which bases are reachable, which models are allowed and the sharing rules.

A concrete example

An internal assistant: from knowledge to answer.

Illustrative example: the real result depends on the sources, the model and the configuration.

Question ou consigne

« Comment accueillir un nouveau collaborateur ? »

Préparez ses accès, désignez un référent et planifiez la découverte des outils. L’assistant s’appuie sur votre guide d’accueil et votre procédure informatique pour proposer une trame à vérifier.

Getting started

An internal assistant on a first scope, then the rest.

01

Choose the scope

Start with one department or a set of up-to-date procedures.

02

Build the base

Import the useful references and check the staff’s access rights.

03

Open it to questions

Test the frequent requests, check the answers, then widen the corpus.

The framework to plan for. An internal assistant should consult only the content its audience is allowed to see. Keep confidential HR documents apart from procedures open to everyone. In every case, decide who approves the answers before they go out, how often the sources are refreshed, and what must stay out of scope.
Frequently asked questions

What you want to know about the internal assistant.

Does everyone see the same documents?

No. Access is set per base and per team. Content reserved for HR does not feed the answers given elsewhere. Rights follow the base: that is where you set them, once, rather than question by question.

What about stale versions?

Take them out of the corpus before anything else. An assistant repeats what it is given: an obsolete procedure will come back as it is.

How long does it take to get going?

As long as it takes to gather the sources and decide who reaches what. That preparation, more than the configuration, determines how good the answers are.
